1. Scope
The application is a workplace tool made available to workers of organizations that participate in the Civic Voice program (each, a participating organization). It is not offered to the general public. Each participating organization determines which of its workers may use the application and administers their records.
2. Information Collected
- Account information: name, contact details, organization memberships, and permissions, provided through Civic Voice.
- Work records: schedules, shift assignments, clock-in and clock-out times, shift notes, required photographs or reports, and their submission status.
- Expense records: amounts, descriptions, and receipt images submitted by the user.
- Device and delivery information: identifiers and settings required for authentication, local storage of unsent work, application updates, and notification delivery.
- Location information: precise device location, collected only under the conditions described in Section 3.
3. Location Information
Precise device location is collected only while all of the following are true: the user is clocked in, the shift is configured to permit location sharing, sharing is enabled for the session, and the operating system has granted location permission. Location data does not affect recorded work time.
While sharing is active, authorized managers may view a recent location. Where the shift permits it, other workers assigned to the same campaign may also view it, but only while both they and the user are clocked in and sharing. A location already received remains available in that live view for up to three minutes.
Sharing begins at clock-in and ends at clock-out. Sharing cannot be paused during a shift. Location permission for the application may be withdrawn at any time through operating system settings.
Locations collected during a shift are retained as a location trail for 30 days. During that period, managers of the applicable campaign and administrators of the user's organization may review the trail, including after the shift has ended. Other workers do not have access to the trail.
4. Use of Information
Information is used to authenticate users, maintain an accurate record of paid time, present and manage schedules, coordinate authorized field work, deliver notifications, process expenses, diagnose failures in transmitting saved work, protect the security of the service, and satisfy the recordkeeping obligations of the participating organization.
Personal information is not sold. Work activity is not used for third-party advertising.
5. Information Stored on the Device
On mobile, clock times and other saved items are stored on the device and transmitted when a connection is available. The web application requires an active connection and does not retain a clock-in, photograph, or report if the connection is lost. Uninstalling the mobile application while items remain unsent will discard those items.
6. Retention
Location trails are kept for up to 30 days and are then removed by a scheduled retention process. Time, schedule, evidence, notification, and expense records are retained by the participating organization in accordance with its operational and legal requirements.
7. Service Providers
The service uses third-party providers for hosting and databases, mobile builds and push delivery, mapping, and private image storage. These may include Netlify, Neon, Apple, Google, Expo, and Cloudinary. Providers process information only as necessary to operate their portion of the service.
Service providers must use appropriate safeguards, protect information consistently with this Policy, and retain it only as long as necessary to provide their service or to meet legal requirements.
8. Choices and Requests
- Location permission may be denied or withdrawn without affecting paid time. Because sharing cannot be paused during a shift, operating system location settings are the only means of stopping it.
- Notification categories and reminders may be configured in the application. The application does not provide quiet hours; device settings may still suppress notifications.
- Optional permissions may be denied, in which case the associated feature will be unavailable.
- Requests regarding access to, correction of, retention of, or deletion of your records may be directed to the administrator of the participating organization.
- Deletion of a CVP Canvasser account and associated data may be requested through the account deletion page. Submission begins a reviewed request and is not an automatic deletion action.
9. Children
The application is a workplace tool and is not directed to children. It is not knowingly made available to individuals under the age of 16.
10. Changes to This Policy
This Policy may be updated as the service changes. The effective date above identifies the current version.
